Privacy Policy

This notice explains how Hudson Morgan Williams Solicitors (“HMW”, “we”, “us” or “our”) collects and uses personal data in connection with the International Aviation Law Conference 2026. It supplements the firm’s main privacy policy. HMW is the data controller. [Draft for HMW review.]

• Registration and contact details (name, job title, organisation, email, phone).
• Payment information — card payments are processed by Stripe; we receive confirmation of payment but not your full card details.
• Any dietary, accessibility or special requirements you tell us.
• Correspondence with us and, where relevant, attendance and session information.

2. How and why we use it

• To process your registration and payment and administer your attendance (performance of a contract).
• To communicate with you about the Conference — joining details, changes and practical information (contract and our legitimate interests).
• To send you information about future events, where you have asked us to or where permitted (consent or legitimate interests). You can opt out at any time.
• To meet our legal and regulatory obligations.

3. Payment processing

Payments are handled by Stripe, which acts as an independent processor of your card data under its own terms and privacy policy.

4. Sharing your data

We may share your data with our service providers (for example the payment provider, event and IT suppliers and the venue) who act on our instructions. We do not sell your data. We will only share your details with sponsors or partners where you have agreed. We may disclose data where required by law.

5. Photography and filming

The Conference may be photographed or filmed for reporting and marketing — see our Terms and Conditions.

6. International transfers

As the Conference is held in Istanbul, some of your data may be processed outside the UK and EEA (for example by the venue). Where it is, we take appropriate steps to protect it. [Confirm with HMW compliance.]

7. How long we keep it

We keep your data only as long as necessary for the purposes above and to meet our legal obligations, after which it is securely deleted. [Confirm retention periods.]

8. Your rights

You have rights to access, correct, delete or restrict the use of your data, to object to certain processing and to data portability.
